This describes what Royal Clean holds, why, and who else can see it. It is short because the service does not collect much.
What we hold
- About you and your staff — name, email address, optional phone number and photograph, and the times worked on each job.
- About your customers — the name, address, contact details and access notes you enter, along with the visits, prices and invoices attached to them.
- Photographs taken on a job, which are stored privately and are never public.
- An audit trail of who changed what, which cannot be edited or deleted.
We do not hold card numbers or bank details. Payments go directly to Stripe.
Your customers never have an account
The people whose houses you clean do not sign in here. Their details are in your workspace because you put them there, and you are responsible for having told them. They can only ever see an invoice you send them.
Who can see what
Every workspace is separated at the database level, not merely in the interface: one company’s records cannot be reached from another’s account.
Inside a workspace, a cleaner sees only the jobs they are assigned to and their own pay. They cannot see what a customer is charged, or anybody else’s earnings.
Who else is involved
Running the service needs a few outside companies. We use:
- A hosting and database provider, which stores your records and photographs.
- An email provider, which delivers your invoices and sign-in links.
- A payment processor, which takes your subscription payment and holds your card details so that we never do.
- A mapping service, which turns an address into a pin. It is sent the address and nothing else.
Each is used only to provide the service, and none is given your data for their own purposes. We will name any of them on request.
How long it is kept
For as long as your workspace exists, because it is your operating history — an invoice from two years ago is a record you may still need. Ask and we will delete a workspace and everything in it; the audit trail is the one thing we cannot selectively erase, since a log that can be edited is not a log.
Asking for your data, or its removal
Write to us and we will export what a workspace holds, or delete it. If you are one of your customers rather than an account holder, ask the cleaning company that holds your details — it is their record, and we act on their instruction.
